Privacy Policy

HubShare helps office space owners manage members and helps members join a space and pay rent. This policy explains what we collect, why, who we share it with, and the choices you have.
What we collect
- Account details: your name, email address, password (stored only as a secure hash), and a profile photo if you add one. Your photo is shown to the owner and staff of the spaces you belong to.
- Membership details you enter when you join a space: name, email, phone number, the ID your space asks for (for example an agent code), your position, and who you report to in that space.
- Terms acceptance evidence: when you agree to the Terms we record the time, your IP address, and your device’s browser information.
- Payment records: invoice numbers, amounts, tax, dates, and payment status. Card details are entered on Stripe’s secure pages and are never seen or stored by HubShare.
- Owner plan records if you buy a HubShare plan: the plan, its status and renewal date, and the store transaction or Stripe subscription it belongs to. Apple, Google, and Stripe handle the payment itself.
- Content owners and staff add: space name, address, logo, house rules, position names, and reminder messages.
- Upline names for people who aren’t members: a space’s owner and staff can add someone who doesn’t use HubShare to the list members choose their upline from, with a name and, optionally, an email, phone number, and ID. Members see only the name; the contact details are visible to that space’s owner and staff only. If you have been added this way and want your details removed, ask the space or email us.
- Device information: a push notification token if you allow notifications, and your notification preferences.
- Diagnostics: crash reports and error details, with names, emails, and tokens removed before they are sent.
We do not use advertising, we do not track you across other companies’ apps or websites, and we do not sell personal information. The camera is used only on your device to scan join QR codes or to take a profile or logo photo. Your theme colour and Home dashboard tile choices are saved only on your device and are not sent to us.
How we use it
- To run your account and your membership, and to show you your invoices and statements.
- To let your space’s owner and staff manage members, payments, and overdue reminders.
- To send account emails, payment notices, reminders, and push notifications you have not turned off.
- To keep HubShare secure, prevent abuse, and fix problems.
Who can see your information
- Your space’s owner and staff see the membership details and payment records for their space only. Other members never see your details.
- Your space owner’s business charges you directly through Stripe. Stripe receives your name, email, and payment details to process payments and issue invoices on the owner’s behalf. HubShare never holds your money.
- Service providers that run HubShare for us, under contracts that limit their use of the data: Stripe (payments, invoices, and web owner plans), Apple and Google (in-app owner plans and push notifications), Superwall (in-app purchase management), Vercel (hosting), Neon (database), our email delivery provider, Google Firebase (push notifications), and Sentry (crash reporting).
- Authorities, when the law requires it.
How long we keep it
We keep your account while you use it. Payment records and invoices are kept so you and the space owner can meet tax and accounting obligations. When you delete your account we remove your name, email, phone, ID, devices, and sign-in credentials, and keep payment records without your personal details.
Your choices and rights
- See and update your details in the app (Account), or ask your space owner.
- Turn notifications on or off in Account → Notifications or in your device settings.
- Delete your account in the app (Account → Delete account) or on the account deletion page. Deletion is blocked while you still have an open membership or own a space with active members, so billing can be wrapped up first.
- Ask us for a copy of your information, a correction, or anything else about your privacy at asoetan@gmail.com. You may also complain to your local privacy regulator.
Security
Data is encrypted in transit. Sign-in tokens on phones are kept in the device’s secure storage (Keychain or Keystore). Each space’s data is kept separate, and access is checked on every request.
Children
HubShare is for adults and businesses. It is not directed to children.
Changes
If we make important changes we will update this page and tell you in the app or by email.
